Notification Template: Contacts Screen

This is a walk-through guide of how to fill out the "Contacts" template while creating a new notification for a recall or withdrawal on ProductRecallNZ. 

In this article, the Pink Text signifies that the field is mandatory. 

Notification Contact

This is a person who will play a role in the recall or withdrawal of affected products. It is common to have just one Coordinator who is in charge of the recall, but sometimes it may require a team effort. 

It is very important to make sure these contacts are relevant to the specific notification and will be able to be contacted immediately after this notification is issued to recipients. If they are not relevant, you are able to delete them.

At least one 'coordinator' with a mobile number is required before a notification can be issued.

By default, the Account Administrator of the organisation is the central coordinator for all initiated notifications. If the Account Administrator is unavailable as a contact for this notification, you will need to add another contact. This user's details will appear on the email alerts that are sent to all receivers so it is important that the coordinator is contactable via phone.

To edit an existing contact, please either double-click on the contact's name or click the 'edit' (pencil) icon.

To delete an existing contact (if they cannot be contacted for this notification for any reason) please click the 'delete' icon. 

To copy an existing contact (adding a similar contact) please click the 'copy' icon. 

If you wish to add additional contacts, please select 'Add Contact'

Fill in the following mandatory fields:

  • Name
  • Position
  • Email
  • Phone
  • Mobile
  • Role: 
          Coordinator: A general contact who is responsible for the recall/withdrawal.
          Customer Services: A contact who manages the customer side of the recall/withdrawal.
          Hotline: A telephone line dedicated to queries about the recall/withdrawal.
          Media: The contact in charge of communicating with the media about the recall/withdrawal process.
         Other: Anything that does not fit into the other categories.
         Pickup: The contact who manages the process of picking up and removing the affected goods.
         Reimbursement: The contact in charge of the reimbursement process for the recall/withdrawal.

Once you have saved the new contact, you will returned to the 'Contacts' overview screen.

If you already have contacts listed here by default, you will be required to 'confirm' that the contacts should be added before you can issue the notification.
